Events Coordinator, Speakers & Programs
The ARF is seeking an events coordinator, reporting to the Senior Manager of Events who will support the Events Team in producing 30+ annual events of varying sizes. You are eager to learn about speaker production at a preeminent membership organization. You are collaborative and can juggle multiple projects at once while handling various deadlines. You are detail-oriented and an excellent communicator. ARF headquarters are in NYC and this position is currently remote with the expectation of a hybrid work environment in the future.
Responsibilities:
- Manage speaker production duties such as collecting speaker assets such as: headshots, bios, release forms, decks and social media handles/hashtags
- Assist multiple team members with administrative and speaker production work on multiple events in various stages of production
- Assist in running in-person and virtual events – including zoom/virtual platform production
- Schedule and attend speaker prep calls and recordings
- Help manage jury committees and scoring processes
- Create and maintain speaker tracking spreadsheets
- Coordinate flow of assets for post-event resource web pages
- Additional duties as assigned (sourcing event venues, expenses tracking, database and registration input, and data organization)
Requirements:
- Bachelor’s degree or equivalent experience
- 1-3 years’ experience in event operations or event production
- Highly organized with a keen attention to detail (you are comfortable with spreadsheets)
- Ability to professionally and effectively communicate with senior executives and their teams
- Ability to work well under pressure
- Ability to work with multiple stakeholders and seek feedback as needed
- Collaborative and able to juggle multiple projects simultaneously
- Willingness to work live events (when they come back)
- Experience with CRM database (iMIS, Salesforce) and registration platforms (Aventri) a plus
- Executive Assistant experience is a plus
